Microsoft 365 Prices Went Up in July 2026, Here's What South African SMEs Need to Know

If your business uses Microsoft 365, you've probably noticed the bills look different this month. On July 1, 2026, Microsoft's latest round of pricing changes took effect across most Business and Enterprise plans, and while the increases are modest per, seat, they add up fast when you multiply across a team.

The good news? Business Premium didn't go up at all. The better news? There are practical steps you can take to offset the increase, and some of them are easier than you'd think.

In this article, we'll break down what changed, what you actually get for the higher price, and the three moves that South African SMEs should make before their next renewal.

What Actually Changed

Microsoft announced these changes back in December 2025, but the new pricing landed on July 1, 2026. Here's what shifted for the plans most SMEs use:

Business plans (with Teams), these are the ones most South African SMEs might find themself on:

M365 Business Premium

Business Premium is the standout, no increase at all. For SMEs already running Business Premium, this is the one plan that didn't budge. Enterprise plans (for larger teams):

New Price (USD)

M365 E3

$57.00

$60.00

Office 365 E3

$26.00

+13%

The increases range from 5% at the top end (E5) to 16% on the most affordable business tier. In rand terms, depending on the exchange rate and reseller markup, that's roughly R10.00 - R40.00 more per user per month, negligible for one person, significant for a team of 20 or 50.

What You Actually Get for the Increase

Price increases sting less when they come with features you’d actually use. And in this case, Microsoft did add real capabilities:

For Business plans:

  • +50GB email storage per mailbox (a meaningful bump for teams that live in Outlook)
  • URL time of click protection (phishing protection that checks links at the moment you click them)
  • Copilot Chat enhancements including inbox/calendar awareness and access to Word, Excel, and PowerPoint agents

For Enterprise plans:

  • Microsoft Defender for Office 365 Plan 1 included in E3 (previously an add on)
  • Intune Remote Help, Advanced Analytics, and Plan 2 capabilities
  • Security Copilot in E5

Whether these features justify the increase depends entirely on whether your team uses them. If you’re on Business Basic and mostly use email and Teams, the +50GB storage is useful, but the price jump is harder to swallow. If you’re on E3 and the Defender for Office inclusion saves you from buying a separate security license, the math looks different.

Why This Matters for South African SMEs

In South Africa, the M365 price increase lands in a specific context that global articles don't cover.

The rand exchange factor. Microsoft's pricing is in USD, but South African businesses pay through local CSP partners who convert at their own rates. If the rand softens against the dollar, the effective increase can be higher than the headline percentage. Between exchange rates, VAT, and reseller margins, a 12% USD increase can easily become 15 to 18% in actual rands.

Unreliable power and remote work. South African SMEs are more reliant on cloud productivity tools than many international peers because power infrastructure makes on premise setups harder to maintain. Microsoft 365 isn't a nice to have for many teams, it's how work gets done when the lights go out. That makes licence cost increases more painful because switching isn't a realistic short-term option.

Business Premium is the sweet spot for SA SMEs. The one plan that didn't increase, Business Premium at $22/user, also happens to be the plan that includes the most security features (Defender, Intune, Conditional Access) under a single licence. For South African businesses looking to strengthen their security posture without adding separate security tool costs, this is worth a serious look.

Frequently Asked Questions

Did Microsoft 365 prices go up in July 2026? Yes. Microsoft increased pricing on most Business and Enterprise plans effective July 1, 2026. Business plans saw increases of 12-16%, Enterprise plans 5-13%, and Frontline plans up to 33%.

Did Microsoft 365 Business Premium go up? No. Business Premium remained at $22.00/user/month, the only Business suite with no price increase.

How can I avoid the Microsoft 365 price increase? Two options: run a licence audit to right size seats, or switch from monthly to annual prepaid billing to drop the 5% monthly premium.

What new features come with the M365 price increase? Business plans gained +50GB email storage, URL phishing protection, and enhanced Copilot Chat features. Enterprise plans gained Defender for Office 365 Plan 1 (E3), Intune capabilities, and Security Copilot (E5).

Is it worth switching from Microsoft 365 to Google Workspace because of the price increase? Almost never worth it for the price difference alone. If your business runs on Teams, SharePoint, and Exchange, the migration cost over three years typically exceeds the cumulative price difference.
